The problem
A tour agency in Granada, Spain, runs guided Alhambra tours. Bookings arrive by email, often in the guest's language. Alhambra tickets are issued by name, so each guest's name, passport and nationality was copied into a sheet by hand, and guest questions were answered one by one.
What I built
Three workflows on the client's own server:
- 1Booking Automation: booking emails become clean guest rows, with an optional WhatsApp welcome
- 2AI Travel Agent: answers guests on WhatsApp 24/7, in their language
- 3AI Admin Assistant: the owner finds bookings and runs tasks from a Telegram chat
- 4A shared inbox where the owner can take over any guest chat
The hard part
The owner wanted to keep replying to guests from the WhatsApp Business app. But a number connected to the WhatsApp automation can't also be used in the app. The official fix, called Coexistence, needs a paid provider, and the client didn't want extra costs. So I set up Chatwoot, a free shared inbox on the client's own server. Every guest chat sits in one organized place, the owner turns the AI on or off with one click, and the AI goes quiet the moment the owner takes a chat.
The results
- New bookings logged within about a minute
- 65+ past bookings imported with one Telegram message
- No duplicate guests, even when emails are read again
